Like all of us, we know that you care how your information is used and shared, and we appreciate the trust and responsibility that you place with us in personal information to facilitate the purchase of our products.

Payment Security - All online credit and debit card payments are processed in a secure SSL environment.  Telephone and trade counter card payments are handled through a dedicated credit card terminal, credit card details are not retained by Beta Valve, either electronically or on paper, after the payment is processed.

Data Confidentiality

- We will, under no circumstances, share any of your information with any third party other than CashFlows for the purpose of processing online card payments payments and Streamline for telephone and trade counter card payments.

- We will, under no circumstances sell any of your information to any third party.


Our website collects information in several ways:

Some personal information is gathered when you register. During registration, betavalve.com asks you for a Username, Password, Security Password, your name, telephone number, email address, company name, address.

We also record details of  products you purchase,

If you contact Beta Valve in writing (including email) we may keep a record of that correspondence. We also occasionally ask users to complete surveys that we use for research purposes.

How We Store and Use Your Data

-  Information that you give to us we receive and store in our sales order processing and accounting systems to facilitate providing a service to you and making purchasing easier and more convenient.

- We also hold information on a CRM (Customer Relationship Management) system for marketing purposes.

- Email correspondence with customers and suppliers and potential customers and potential suppliers.

- This information is held on systems housed in secure UK data centres.

Retention of Information

We aim to retain personal data for the minimum period of time consistent with our legitimate requirements.  

We retain information for the following periods:


Customers and suppliers- generally a maximum of ten years after the last transaction between you and Beta .Valve Systems.

Potential customers and suppliers - generally a maximum of five years since our last active contact with you whether that is a face-to-face meeting, telephone conversation with you or an email from you.

Job applicants: 4 months (unless we inform you that we’d like to keep your details on file for future consideration - when it’s one year).

Employees: Payment records are held for six years, as required by HMRC.  Details of job performance, sickness records, disciplinary are destroyed one year after the end of employment.  Records of work related accidents or illness after 3 years. All other information is erased after 5 years.

Cookies


- We make use of cookies to facilitate the buying process, and to allow you to log in and retrieve your information and shopping cart.  Our cookies do not contain any personal or confidential information, just a reference to a record in a securely protected database.

- We use Google Analytics (a web analytics tool) to help us understand how visitors engage with our website. Google Analytics collects information anonymously, it reports website trends without identifying individual visitors. Google Analytics cookies are used to store information, such as the time that the current visit occurred, whether the visitor has been to the site before and what site referred the visitor to the web page.

Lawful Basis for Holding Your Information

If you are an employee of an organisation that is past, present or we consider could be a future customer of Beta Valve Systems Ltd. we will hold your information (typically your name, job title, place of work) on the basis of legitimate interest.

If you are self-employed or otherwise purchasing as a private individual we will hold your information for the purpose of processing sales orders on the basis of contract.  We may also hold other information under legitimate interest as someone who has either previously bought from us or someone who has expressed an interest in our products or services.

Your Rights as an Individual

        the right to data portability - we can provide you with information such as past order history in a machine readable format.

        the right not to be subject to automated decision-making including profiling - Beta valve do not make use of automated decision-making profiling..

The right to withdraw consent

We ask you for your consent before sending you marketing communications, if you wish to withdraw this consent you can do so at any time either by clicking on the unsubscribe link on the email or by emailing your request to online@betavalve.com

The right of access;

You have the right to receive confirmation that your data is being processed and access to your personal data

This information is provided free of charge.

The information will be provided without delay and at the latest within one month of receipt.

This period may be extended by a further two months where requests are complex or numerous. If this is the case, we will inform you individually within one month of the receipt of the request and explain why the extension is necessary.

If we consider requests are manifestly unfounded or excessive, in particular because they are repetitive, we may: charge a reasonable fee taking into account the administrative costs of providing the information; or refuse to respond.

If the request is made electronically, we will provide the information in a commonly used electronic format.


The right to rectification;


You are entitled to have your personal data corrected if it is inaccurate or incomplete.
We will respond to your request within one month.

In the unlikely event request for rectification is complex we may extend this time by two months.

If we are not taking action in response to a request for rectification, we will tell why.

 

The right to erasure;

You have a right to have your personal data erased and to prevent processing in specific circumstances:

  •   Where the personal data is no longer necessary in relation to the purpose for which it was originally collected/processed.
  •     If we are processing your data on the basis of your consent and you withdraw that consent.
  •     If you object to the processing and there is no overriding legitimate interest for us continuing the processing.
  •    The personal data was unlawfully processed.
  •    The personal data has to be erased in order to comply with a legal obligation.

We may refuse to comply with a request for erasure where the personal data is processed for the following reasons:

  •    To exercise the right of freedom of expression and information
  •    The exercise or defence of legal claims.

If we have disclosed the personal data in question to third parties, we will inform them about the erasure of the personal data, unless it is impossible or involves disproportionate effort for us to do so.

The right to restrict processing;

We will restrict the processing of your personal data in the following circumstances:

  •    If you contest the accuracy of the personal data, we will restrict the processing until we have verified the accuracy of the personal data.
  •    Where you have objected to the processing where it was necessary for a purpose of legitimate interests, and while we are considering whether our legitimate grounds override your objection.
  •    If we discover the processing is unlawful and then if you object to erasure and request restriction instead.
  •    If we no longer need the personal data but you require the data to establish, exercise or defend a legal claim.

If we have disclosed the personal data in question to third parties, we will inform them about the restriction on the processing of the personal data, unless it is impossible or involves disproportionate effort for us to do so.

We will inform you when we decide to lift a restriction on processing.

The right to object

The Right to Object to the Processing of Your Personal Information

You have the right to object to us processing your personal information if this is  on “grounds relating to your particular situation”.

We will stop processing the personal data unless:

  •    We can demonstrate compelling legitimate grounds for the processing, which override your interests, rights and freedoms;

            Or

  •  The processing is for the establishment, exercise or defence of legal claims.   

We will stop processing personal data for direct marketing purposes as soon as we receive an objection.
